about the project

We have created a system to unify and support the handling of courier shipments between the company's branches and its customers

Pryzmat sp. z o.o. sp. k. created Poland's largest sales network of high quality consumables for printing devices. It sells and rents printing equipment of renowned global brands. Guided by ecological thinking - buys, collects and recycles used cartridges.

The aim of the project was to create a system allowing the improvement and optimisation of the process of sending and receiving shipments. Thanks to integration with courier companies' systems, it was possible to simplify and unify activities related to creating and labelling parcels and ordering couriers. The introduction of own labels reduced to a minimum the number of mistakes and increased process control.

CHALLENGE

How do you increase control and minimise errors while optimising and simplifying the process of sending parcels sent by different courier companies?

One of the biggest challenges of the project was to enable full control over the process of preparing, sending and tracking shipments transported by various courier companies. At the same time, it was necessary to unify this process so that it was not dependent on the way it was carried out by carriers.

The multi-branch nature of the company required ensuring the separation of data stored in the system. Information on customers, prepared and forwarded shipments and their content could be accessed only by the employees of the branches to which they belong and by authorised persons. This requirement was implemented through the implementation of multi-level authorisation mechanisms and access control at data level.

The unification of the internal way of marking parcels was achieved through the development of dedicated labels applied to all parcels sent. Thanks to the use of QR codes and mobile terminals/collectors with their readers, it was possible to significantly speed up activities related to sending and receiving parcels.

Custom labelling of parcels must not interfere with their handling by the courier company. Any type of barcode cannot be used.

Universal interface for collaboration with multiple business partners

The system created for Pryzmat handles processes in the warehouse related to sending and receiving shipments. In order to automate shipment management activities, we integrated the systems of the courier companies used by Pryzmat. The main task of the system is to control events related to shipments: what, when, from where and to where it was sent/received and to identify the content of packages. As it was important for our client to automate activities related to shipments, the system created a list of contractors, i.e. branches and customers with whom shipments are most often exchanged, which speeds up the process of sending parcels.

Using the system, warehousemen create parcels, order couriers, generate labels - both internal, enabling identification of the contents of the parcel, and external - intended for the transportation of parcels. The implemented system enables handling shipments not only from a computer, but also from a data collector. The system includes a browser application adapted to work on a wireless terminal, thanks to which warehousemen can use the system and read bar codes and register incoming and outgoing shipments without coming up to a computer workstation.

The system records shipments exchanged between the central warehouse and points of sale or end customers. The system is used not only by warehousemen in the head office, but also by employees in the company's sales outlets throughout Poland. Printers are often sent, which are identified in the system by their serial number or, for example, important documents which must not be lost.

The system reduces the risk of lost packages by accurately tracking their route. It also informs about possible delays in delivery. In the case of damage or loss of a parcel, it is possible to record the fact of reporting a complaint to the courier company in the system. Such information helps sort out complaints.

Thanks to the implementation of the EXSO system, employees responsible for managing orders addressed to courier companies can perform all the necessary operations from a single system.
